How your election will work.

As you are aware, every election is a project that has to be run to precise rules and an exacting timescale. For this to be the success you need to be assured that careful and reliable project management is in place.

It starts with you providing us with the initial information about the election.

• The numbers and types of seats being elected
• Your critical dates

Firstly we will book your slot in our election calendar and then we will set up a project for you using our online project management system to ensure prompt and crystal clear communication. 

We are happy to give you an assurance statement of our compliance with the Data Protection Act. We undertake to destroy all personal information after the election when requested by your Returning Officer. 

As you provide us with more detail we will set up the format and tailoring to give the election an appearance to match your Union's style. We will then agree the security requirements and set up your sample election for your approval; this will include manifesto links if you wish.

You will provide us with a list of voters' e-mails for loading into our e-mail management system. This system will automatically issue initial invitations and up to two reminders directly to the voters e-mail box. This list will include any security and checking information that we have agreed to operate on your behalf.

You then provide us with your final list of candidates -- you can even let us have photos as well to go on the electronic "ballot paper". We then build the complete test election voting forms for you and submit for your approval.

The election goes Live! And the entire electorate is invited by e-mail. SOVS monitors progress during the election to ensure that all is well.

The election is closed at the agreed time and then the results are downloaded. They are processed according to be Electoral Reform Society guidelines and the results, together with a detailed report for the Returning Officer is produced.
